Position Responsibilities: Counseling, scheduling and screening of clients who are pregnant as to their options available including adoption, prenatal care, abortion and medical/social service referrals as appropriate. Thorough knowledge of quality reproductive and family planning information and comfortable in a surgical facility. Part of the surgical services center supervisory and management team. Ensures excellent patient care in center. Responsible for day to day surgical service center administrative operations. Flexibility in hours requires weekend work. Excellent phone and verbal skills. Physical demands may include sitting at a desk for long periods of time.
PRIMARY DUTIES PERFORMED
- Counsel clients, minors and their parents exploring options. Make prenatal, abortion and social agency referrals
- Provide 24 hour informed consent for abortion care under supervision of Medical Director
- Participates in planning improvements for quality customer and medical care in center and in department and reduces barriers to care
- Utilizes established scheduling systems and expectations to ensure maximum productivity, access for patients, and quality care
- Schedules Center staff on a monthly basis. Responsible for trouble shooting unexpected gaps in scheduling. May be the staff who fills in when a scheduling gap occurs due to unexpected illness, planned vacation, staff turnover, or other occurrence
- Assists team in increasing patient satisfaction by soliciting and tracking feedback and by responding to patient concerns. Helps to train all center staff to be fully receptive to patients and to communicate effectively with them
- Accountable for fiscal assets, including doing deposits, tracking errors, ensuring
computer batching accuracy and reconciliation, handling petty cash, and monitoring staff for compliance with fiscal standards and policies
- Tracks center’s patient census, develops strategies to increase census and make goal, and works to involve whole team in goal achievement
- Monitors monthly revenue and expenses and work with Director of Surgical Centers on maintaining fiscal goals
- Regularly checks and monitors the computer reports for accuracy in data entry. Follows up with staff if further training is warranted
- Monitors and orders supplies in RHS. Ensures that inventory is available for use, is properly stored, is of appropriate amount, and is up to date
- Meets regularly with Director of Surgical Services to discuss site needs, prioritize tasks, share staff updates
- Counts monthly supply inventory and year-end property and supply inventories
RISK MANAGEMENT AND QUALITY ASSURANCE
- Documents in legible, accurate English all interactions with clients in corresponding medical records.
- Reports any unusual circumstances to Director of Surgical Services and follows procedure as outlined in manual, memos, and other PP documents.
- Follows the most recent PPFA/PPSLR/RHS medical standards and guidelines and ensures client is aware of individual follow up plan for medical service.
- Audits medical records for compliance with PPFA and PPSLR/RHS medical standards and guidelines.
- Cognizant and compliant with policies and procedures as outlined in affiliate’s Clinic/RHS Procedure Manual and in the PPFA manuals.
- Protects PPSLR/RHS and its assets from liability.
- Protects confidentiality of PPSLR/RHS clients, staff, volunteers, donors, Board, and all other areas of operation.
- Follows HIPAA privacy and security guidelines.
OTHER DUTIES AS DELEGATED
- Part of hiring team for Center staff
- Direct supervisor for select center staff and monitors performance
- Responsible for job evaluations for Center staff
- Makes immediate interventions as necessary for any performance concerns. keeps Director fully apprised of any and all concerns
- Assists in and ensures new staff training and that all new staff receive appropriate training before allowed to function independently
- Monitors staff/client interactions to ensure quality customer and client-centered care and attention to policies
Qualifications:
- Minimum LCSW required
- Experience in counseling/social work/crisis intervention
- Strong background in family planning, abortion and human sexuality preferred
- Communicate effectively, written and orally in English
- Ability to work effectively and cooperatively with staff and volunteers
- Detail-orientated
- Ability to work in a fast-paced environment; able to juggle multiple priorities.
- Fiscal accountability proven or aptitude for.
- Flexible non-judgmental approach to individuals from diverse backgrounds.
- Bilingual skills a plus, particularly Spanish, Serbo-Croatian, or Vietnamese
