Position Responsibilities: The Technology Solutions Global Program is seeking a Program Assistant who will provide administrative and programmatic support to the Technology Solutions teams, supporting a variety of reproductive health technology projects, including the woman's condom and SILCS Diaphragm. Responsibilities include the following:
- Develop and maintain systems for tracking, record keeping, electronic files, and other resources using Microsoft Office Suite and SharePoint.
- Compile documentation and testing results to share with external partners, including the USFDA and WHO.
- Coordinate product testing including requesting quotes, finalizing purchase orders, sending samples, and tracking test results.
- Coordinate arrangements for guests, meetings, conferences, workshops, and other events.
- Prepare and coordinate the production and distribution of complex documents, including proposals and reports.
- Serve as main point of contact with Graphics to develop communications materials including fact sheets, press releases, instructions for use, and other documents as required by the project.
- Draft, edit, and proofread a variety of documents and enter data using Word, Excel, and other software and database programs.
- Coordinate displays (including materials, samples, posters, etc.) and represent the SILCS and Woman’s Condom products at external events.
- Assist with completion of administrative forms, including procurement request forms, check requests, and meal conference forms.
- Coordinate applications to the Research Ethics Committee (REC), provide supporting documentation, and track the submission.
- Respond to product inquiries and track responses on SharePoint.
- Prepare and proofread reports, presentations, proposals, manuscripts, and other project materials.
- Track media references to SILCS and Woman’s Condom.
- Support team meetings with internal and external parties: prepare agendas, prepare and distribute meeting minutes, and compile country updates.
- Draft correspondence to donors, partners, and collaborators, including cover letters, thank-you letters, and general email correspondence.
- Coordinate tasks with other support staff, provide training and back-up as necessary.
- Coordinate arrangements for conferences, workshops, meetings, and other events including equipment needs, catering, travel arrangements, and other necessary details for staff and guests.
Qualifications:
- Proficiency in Microsoft Office Suite.
- Excellent proofreading and editing skills.
- Excellent oral and written communications skills.
- Strong interpersonal and organizational skills.
- Flexible and adaptable to changing priorities.
- Demonstrated success working effectively while under deadlines.
- Ability to work in team environment with minimum supervision.
- Proficiency in SharePoint preferred.
- Ability to work in a virtual team.
- Available for early morning or evening conference calls.
- Knowledge of or interest in global health strongly desired.
Required Experience
- Associate's degree, plus a minimum of three years of directly related administrative experience; may be an equivalent combination of education and experience.
